A fragmented landscape in need of simplification

When you work with mul­ti­ple HR brands, com­plex­i­ty comes with the ter­ri­to­ry.
Each brand has its own inter­nal work­flow, data flows, and deci­sion lines. And expec­ta­tions from clients and can­di­dates dif­fer by brand too.

Togeth­er with RGF Staffing, we mapped out the key challenges:

  • each brand works dif­fer­ent­ly and uses its own tools
  • data and process­es were spread across dif­fer­ent systems
  • ser­vice expec­ta­tions var­ied sig­nif­i­cant­ly between both clients and candidates
  • there was a need for one uni­fied dig­i­tal por­tal that still stayed flex­i­ble per brand
  • a choice had to be made between cus­tom devel­op­ment, SaaS, or low-code, with­out let­ting cost or com­plex­i­ty spiral

On top of that, one shared vision need­ed to emerge that every brand could get behind. That required sol­id ground­work: work­shops, research, and the right guid­ance to trans­late needs into work­able functionality.

How do you start building one platform for multiple brands?

Step 1: research as the foundation for the right solution

The ini­tial request was about build­ing a new client por­tal. But before we sketched a sin­gle screen, we researched togeth­er with RGF which direc­tion made the most sense:
cus­tom devel­op­ment, SaaS, or a low-code solution.

That research point­ed to low-code as the best bal­ance:
flex­i­ble enough to per­son­al­ize, but fast and afford­able to develop.

Our UX experts then took over. They:

  • inter­viewed users and stakeholders
  • mapped out user jour­neys for every brand
  • iden­ti­fied pri­or­i­ties and pain points
  • chal­lenged exist­ing assump­tions using best prac­tices from oth­er CX projects

With those insights, we built wire­frames that weren’t just sharp in design, but above all guar­an­teed an intu­itive flow for clients, can­di­dates, and inter­nal teams.

Step 2: one approach for a diverse HR ecosystem

One of the biggest chal­lenges in the project was that every HR brand with­in RGF Staffing works dif­fer­ent­ly. Dif­fer­ent teams, dif­fer­ent expec­ta­tions, dif­fer­ent principles.

Our ana­lysts and UX spe­cial­ists took the lead:

  • work­shops to bring per­spec­tives together
  • analy­sis to sharp­en the requirements
  • clear pri­or­i­ti­za­tion between must-haves and nice-to-haves
  • a uni­fied struc­ture that could lat­er be reused for mul­ti­ple dig­i­tal products

That cen­tral­ized approach did­n’t just pro­duce one por­tal, it built a sol­id dig­i­tal foun­da­tion that brought the brands clos­er togeth­er with­out los­ing what made each one distinct.

Step 3: from one portal to two powerful digital products

As the project pro­gressed, the request grew beyond just a client por­tal.
RGF Staffing decid­ed to also build a can­di­date por­tal, so both audi­ences would get an equal­ly strong dig­i­tal experience.

That result­ed in:

  • a client por­tal for com­pa­nies and organizations
  • a can­di­date por­tal for appli­cants and employees

Both por­tals were built by the same Hype­r­i­on team, allow­ing us to guar­an­tee shared log­ic, look-and-feel, and flow.

One key suc­cess fac­tor? Our experts reg­u­lar­ly worked on-site along­side RGF Staffin­g’s teams. That close col­lab­o­ra­tion led to:

  • direct feed­back
  • short­er iterations
  • a part­ner­ship that felt like one inte­grat­ed project team

From concept to reality: how the implementation unfolded

The imple­men­ta­tion was car­ried by a mul­ti­dis­ci­pli­nary team:

  • UX design­ers
  • func­tion­al analysts
  • researchers
  • low-code devel­op­ers

We worked in short, agile iter­a­tions with pro­to­types test­ed imme­di­ate­ly with stake­hold­ers.
Reg­u­lar check-ins with the dif­fer­ent brands ensured every par­ty involved could help steer the direction.

Thanks to the choice of a low-code approach, we were able to devel­op faster, adapt more eas­i­ly, and place full own­er­ship in RGF Staffin­g’s hands.

The result: one digital foundation that brings brands closer together

The project deliv­ered a num­ber of key results:

  • a shared dig­i­tal expe­ri­ence for both clients and candidates
  • much stronger syn­er­gy between the dif­fer­ent HR brands
  • require­ments defined more effi­cient­ly and consistently
  • UX flows based on real user behav­ior, not assumptions
  • a faster devel­op­ment cycle thanks to low-code technology
  • a part­ner­ship that expand­ed and strength­ened over the years

The project start­ed with a request for one por­tal, but grew into a close part­ner­ship that struc­tural­ly strength­ened RGF Staffin­g’s dig­i­tal operations.
